Legal Admin
Location: Carle Place, NY
Position Type: Full-Time


Responsible for providing administrative and clerical support to the General Counsel, Deputy General Counsel and Legal Group. Duties are complex in nature and involve access to confidential information. In addition, acts as a liaison to all internal and external contacts in a manner that promotes the professional image of the Company. Ideal candidate must be very organized, must know how to diplomatically and skillfully push back on unreasonable requests from business owners around the enterprise.

Requirements and Skills

  • Efficiently performs administrative and secretarial functions for the GC and DGC, and others in the department as needed
  • Maintains the schedules and appointments for the GC and direct reports as needed
  • Answers the telephone, screens and processes telephone calls effectively, and performs proper selection for putting calls through
  • Manages the pending list for all matters in legal for the enterprise; initiates matter, works with GC assigning the matter to an attorney and updates the list with input from the handling attorney
  • Coordinates and arranges for internal and external meetings for GC and direct reports, assists in preparing materials for each meeting (which includes the Board of Directors meetings), and reserves conference rooms accordingly
  • Receives, sorts, and prioritizes incoming mail and files key documents in designated areas
  • Type correspondence and other documents
  • Efficiently and cost effectively schedules and coordinates all travel arrangements
  • Remains accessible and on-call at all times to perform telephone coverage, greet visitors, and retrieve documents, and assist in daily activities
  • Maintains files (internally and at storage site) and retrieves documents when needed
  • Serve as the "gatekeeper" to legal who is skilled with managing aggressive requests

Education and/or Experience

  • Bachelor's Degree Preferred; High School Degree Required
  • 5+ years experience supporting an executive in a corporate setting
  • Highly proficient in Microsoft Office Suite (Excel, Word, PowerPoint & Outlook)
  • Proficient on the Internet, search engines, internet research, and e-mail
  • Must be a team player and work well under pressure
  • Must possess excellent time management skills, organizational skills, and the ability to juggle a variety of tasks
